What counts as temperature-controlled cargo

Medicines, vaccines, diagnostic kits, some supplements, serums, creams, emulsions and certain cosmetic ingredients need a defined range all the way: shipper warehouse — airport — aircraft — destination airport — release. For a buyer this is not a “fragile box” but a chain where one broken link spoils the lot. Before departure the regime is locked: chilled plus, a narrow pharma corridor or deep freeze — as in the manufacturer spec and on the marks. Cosmetics often travel in plus temperatures but overheat on the apron. Medicines more often need continuous control and a temperature report for the consignee.

How it moves: container, logger, priority

Practice rests on three pillars. First, a thermal container with gel packs or an active system sized for route length and allowed drift. Second, temperature loggers inside the pieces: without a track file a dispute with the supplier or insurer almost never closes. Third, priority handling at airports so the cargo does not sit in sun or an unheated warehouse.

• Pack and load coolant per the container maker’s instructions, with reserve for connections and release.
• Start the logger before the container is closed; match calibration and logging interval to the supply contract.
• Put the regime, keep-cool marks and the receiving contact on the AWB and labels.
• Some formulas (aerosols, alcohol solutions, reagents) are also IATA DGR: MSDS/SDS, UN packaging and a shipper’s declaration; some items only on cargo aircraft (CAO).

Times are indicative, from leaving the shipper’s warehouse to release at the destination airport: Europe usually 3–5 days, China and Asia 3–6, Middle East 2–4, USA 5–8. Urgent shipments usually 2–3 days if space exists. Door delivery is about plus one day. Cold cannot be maintained without a thermal container and priority handling; the ordinary baggage flow is not for pharma.

Documents checked before departure

For import into Kazakhstan prepare a commercial invoice with HS codes, a packing list with weight and dimensions per piece, the AWB, a contract or supporting invoice. If needed — a certificate of origin, conformity certificates, sanitary conclusions. For medicines and cosmetics the permit set is often wider than for ordinary commercial cargo: without it the goods sit in temporary storage while the container’s thermal reserve runs out.

Where money and time are lost

The airline charges the greater of actual and volumetric weight: volumetric weight = length × width × height (cm) / 6000. The price includes the per-kg rate, fuel and security surcharges, terminal handling, AWB and export declaration, pickup and delivery. The exact figure comes from a manager after calculation: route, weight, volume, cargo type and urgency. Indicative tariffs are not quoted.

• Oversized outer packs inflate volumetric weight: air inside the cooler is paid as cargo.
• Late pickup misses a tight connection — the logger records an excursion on the ground, not in the air.
• Mixing ordinary cosmetics and DGR in one piece without a declaration — offload.
• Receiving without a cold room and without reading the logger — a “who heated it” dispute with no proof.
• Consolidation with warm cargo on a shared pallet saves space and breaks the regime.

There is no minimum weight: from 1 kg to commercial lots. Warehouse options — re-pack, palletising, photo report — only make sense if they do not break the thermal container’s seal.

A buyer’s sequence

Lock in the PO the range, pack type, number of loggers and a ban on opening until receipt. Align cargo readiness with the flight window, not “when the box is packed”. Send the spec, invoice, packing list and permit scans before booking. In Kazakhstan, have cold space ready and a person authorised to sign the act and read the logger. Legal entities pay by bank transfer under contract; private senders get terms from the manager.
