What “machine tools” means in air freight

For a buyer, a “stan” is a machine tool, line, press, CNC centre, compressor, pump, test stand or a large framed assembly. It is rarely a simple carton: offset centre of gravity, protruding shafts, oil in the sump, fragile ways, and often non-standard dimensions. Airlines charge the greater of actual and volumetric weight. Volumetric weight = length × width × height (cm) / 6000. Empty cavities in the crate raise the bill even when the metal is heavy.

Steps before booking a flight

Do not rely on “invoice weight”. Measure every piece: length, width, height, actual weight, centre of gravity, whether it may be tilted or stacked, and whether there is oil, CNC batteries, cylinders or aerosols. Without that you cannot choose a narrow- or wide-body aircraft or pallet type.

• Drawing or photos with a ruler and piece marks.
• Commercial invoice with HS codes, packing list by piece, contract or supporting invoice.
• Certificate of origin and permits if required.
• For oils, paints, reagents, UPS lithium batteries — MSDS/SDS, UN packaging, marks, shipper’s declaration; some items cargo-aircraft only (CAO) under IATA DGR.

We check the document set before departure. Wrong codes and weight mismatches by piece typically delay release more than “a slow aircraft”.

Where money and time are lost

Money goes into volume: a machine on a tall wooden frame full of air is rated as a large cube. Lower the centre of gravity, remove non-critical covers if the supplier and customs agree, and secure it on an air pallet with a lashing plan. Out-of-gauge cargo needs a wide-body freighter, special pallets and high-loader offload — without an agreed plan the aircraft will not take the space at the last minute.

Time is lost on unprepared export in the origin country, no space on passenger flights for CAO, terminal dwell from poor marking, and last-mile if the release airport and consignee warehouse are not aligned. Transit is usually counted from leaving the shipper’s warehouse to airport release: Europe → Kazakhstan typically 3–5 days, China/Asia 3–6, Middle East 2–4, USA 5–8; urgent moves typically 2–3 days if space exists. Door delivery is usually +1 day. These are indications, not a slot guarantee.

Temperature, high-value units and exhibitions

CNC cabinets and metrology are sensitive to swings. Use thermal containers, loggers, priority handling and a temperature report to the consignee. Valuable spindles and controllers should travel as separate sealed pieces. Exhibition equipment often needs re-export — that is a separate setup, not “import in reverse”.

Hand-carry and charter are considered when line downtime costs more than freight: an urgent spare, a missed install. The solution is case-by-case after checking aircraft door limits and airport rules.

How cost is built and what is included

The rate includes the per-kg charge, fuel and security surcharges, terminal handling, AWB and export declaration, pickup and delivery. The exact figure comes from a manager after calculation: route, weight, volume, cargo type, urgency. Advisors do not quote ballpark tariffs. Legal entities pay under contract by bank transfer; private shippers get terms from the manager. Agents work under an agency agreement with commission on completed moves.
